Personal data means any information that could identify a living person. We collect Identity Data (name, title), Contact Data (email, phone, address), Technical Data (IP address, browser, device, location), Usage Data, Financial Data (where you purchase a service), Location Data, Feedback, Profile Data (credentials, chat logs, audit trail), and Marketing and Communication preferences.
We rely chiefly on our legitimate interests: to improve and optimise the website, enhance security and prevent fraud, provide our services and keep the site functioning, and protect our business and defend legal claims. We assess that such use is necessary and does not infringe your rights. We may anonymise and aggregate data, which data-protection law does not govern.
We may share your data with our personnel (under confidentiality and data-protection obligations), our supply chain of service providers, regulatory authorities such as HMRC, our professional advisers, and any actual or potential buyer of our business. We take legal advice before responding to court orders or legal requests.
We store your personal data on our servers in the UK. We only transfer information outside the UK or EEA where a valid legal mechanism guarantees its protection. If you use our services abroad, your data may be stored in the same country as you or your organisation.
We use access controls and multi-factor authentication, internal IT and network security, regular testing and review, staff policies and training, incident and breach reporting, and business-continuity and disaster-recovery processes. We notify the regulator and, where required, you, of incidents affecting your data. Report unusual activity to legal @ ergodic.ai.
We retain personal data only as long as necessary for the purposes we collected it, weighing volume, sensitivity, risk, need and legal requirements. We may keep Identity and Contact Data and correspondence for up to seven years after our relationship ends. Mailing-list details are kept until you ask us to stop.
You have rights of access, correction, deletion, restriction, objection, and portability, and the right to complain to the ICO. Usually there is no cost. We respond without undue delay, within one month of receiving your request or confirming your identity (extendable by two months for complex requests). We conduct business-to-business marketing and may contact staff via work details. To opt out of B2B marketing, email marketing-opt-out @ ergodic.ai. Opting out does not affect processing needed to fulfil an order you have with us.
